Privacy Policy
This policy explains how The Learning Collective FZE LLC collects, uses, shares and protects personal information in connection with this website and our tutoring, home-school and Learning Support Assistant services. It is intended to reflect applicable UAE data protection requirements, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.
Who we are
The Learning Collective FZE LLC, licence 4431903.01, is responsible for personal information described in this policy. Registered address: Business Centre, Sharjah Publishing City Free Zone, Sharjah, United Arab Emirates. Privacy enquiries may be sent to hello@learningcollective.ae.
Who may submit an enquiry
Our forms are intended for an adult parent or guardian. Children should not submit information directly through the website. The person submitting an enquiry should have authority to provide information about the child.
Information we collect
We may collect the parent’s or guardian’s name, email address, telephone or WhatsApp number, emirate and area; the child’s year group, curriculum and requested support; preferred schedules; messages and correspondence; service, payment and attendance information if an arrangement begins; and technical information such as IP address, browser data, server logs and anti-abuse records.
Children’s and sensitive information
Information about a child requires particular care. Please do not include the child’s full name, identity documents, medical records, diagnosis or other sensitive information in an initial website enquiry. If additional information is genuinely needed to arrange appropriate support, we will ask for it separately, explain why it is needed and limit access to those who need it. Where consent is required, it must be provided by the parent or guardian or another person legally authorised to act for the child.
Why we use information
We use information to respond to enquiries; conduct an introductory consultation; understand requested educational support; propose and manage tutor or LSA arrangements; communicate with parents, educators and, when authorised, schools; administer schedules, reports and payments; protect children and respond to incidents; maintain website security; prevent misuse; keep appropriate business records; and comply with legal obligations. We seek consent where required and otherwise process information only where permitted by applicable law.
How the website forms work
The homepage form prepares a WhatsApp message for the parent or guardian to review before sending. The detailed enquiry form sends the submitted information to our business email for response. The website does not maintain a separate customer database for initial enquiries. WhatsApp, email and other communication providers process information under their own privacy terms.
Sharing information
We may share relevant information with a prospective or assigned tutor or LSA, but only to the extent reasonably needed for matching and delivery of support. Where school-based support is requested, relevant information may be shared with the school or its authorised staff with the parent’s or guardian’s knowledge or as otherwise permitted by law. We may also use hosting, email, communications, payment, professional-adviser and IT-security providers, and may disclose information to regulators, courts, law-enforcement bodies, child-protection bodies or emergency services where legally required or reasonably necessary to protect a child or another person.
Photographs and recordings
Tutors and LSAs may take photographs for agreed reporting purposes only after prior permission from the parent or guardian and, where applicable, the school. Separate express permission is required before any image is published or used for marketing. Permission may be withdrawn for future use by contacting us, subject to legal or safeguarding record requirements.
International processing
Some hosting, email, messaging or technology providers may process information outside the UAE. Where an international transfer occurs, we take reasonable steps to use suitable providers and safeguards in accordance with applicable requirements.
Retention
Initial enquiry correspondence is normally retained for up to 24 months after the last meaningful contact, unless the family asks us to delete it sooner or a longer period is needed for an ongoing service, safeguarding matter, dispute, accounting requirement or legal obligation. Records relating to an active or completed service may be retained for the period reasonably required for administration, child protection, legal compliance and the establishment or defence of claims. Information is then securely deleted or anonymised where reasonably practicable.
Security
We use reasonable administrative and technical measures designed to protect personal information, including restricted access and secure hosting and communications practices. No internet or email system is completely secure, so please avoid sending unnecessary sensitive information through ordinary website forms or messages.
Data incidents
If a personal-data incident occurs, we will assess it, take reasonable steps to contain and address it, keep appropriate records and make notifications to affected people or competent authorities where required by applicable law.
Your rights and choices
Subject to applicable law and relevant exceptions, you may ask for information about our processing, access to personal information, correction of inaccurate information, deletion, restriction or cessation of certain processing, withdrawal of consent and transfer of information where applicable. You may also object to certain decisions or lodge a complaint with the competent UAE data-protection authority. To make a request, email hello@learningcollective.ae. We may need to verify identity and authority before acting, but please do not send identity documents with an initial email.
Website technology
This version of the website does not add advertising trackers or analytics cookies. Images, styles and fonts are hosted on the website. Temporary browser session storage may remember a selected service to prefill an enquiry. Hosting systems may process technical logs for delivery and security. The form may use a hashed network-address identifier and recent submission times to limit automated abuse; this does not contain the enquiry text.
External services
Links to WhatsApp, email or other third-party services lead to services controlled by their providers. Their privacy terms apply when you choose to use them.
Changes
We may update this policy when our services, technology or legal obligations change. The date above identifies the current version.
